The short version
BuibuiMedia is a monitoring product. To do its job it records what AI search surfaces say about brands, stores that evidence, and shows it back to the workspace that asked for it. That means we hold two kinds of information: the small amount of account data needed to run your workspace, and the observation evidence produced by your scans.
We do not sell your data. We do not use the content of your workspace to build profiles of individuals. Evidence we collect for your workspace stays visible to your workspace.
What we collect
Account information. The name you give your workspace, the domain you are monitoring, your market and language settings, the competitors you add, and the questions you approve for monitoring.
Public web content. Pages we fetch from the domains in your workspace, along with the technical record of each fetch: the final URL, the status code, redirects, response headers, the fetch method used, and a hash of the content we saw.
Observation evidence. The answers returned by supported AI search surfaces for your approved questions, the sources those answers cited and in what order, and the metadata that makes a result reproducible: the surface, the date and time, the market, the device type, and the version of the parser that read the response.
Product usage. Basic records of how the application is used, such as which scans ran, which recommendations were opened, and which jobs failed, so we can keep the service reliable and support you when something goes wrong.
What we do not collect
We do not connect to your analytics, your customer records, your orders, or any private area of your website. Everything we analyse on your site is content that is already publicly reachable.
We do not scrape personal profiles, and we do not build audience segments about the people who visit your site. Where an AI answer happens to mention a person, we keep it only as part of the answer we observed, in the same form it was returned.
Why we keep evidence
A visibility claim is only useful if you can check it. When we say a competitor was cited first for a buyer question, you should be able to open the exact answer, see the citation order, and read the date it was recorded. That is why observations are stored rather than summarised and discarded.
Stored evidence is also what makes trends honest. If we change how a score is calculated, older observations stay untouched and the new calculation is applied on top of them, so history is never quietly rewritten.
How long we keep it
Observation evidence and page snapshots are retained for as long as your workspace is active, because their value is in the comparison across time. Failed job records and diagnostic logs are kept for a short operational window and then removed.
If you close a workspace, its evidence is scheduled for deletion. Some records may persist briefly in backups before those backups age out on their normal cycle.
How it is protected
Data is encrypted in transit and at rest. Access to production systems is limited to the people who need it to operate the service, and that access is logged. Credentials for third party providers are stored separately from workspace content.
No system is perfect. If a breach affects your workspace, we will tell you what happened, what was involved, and what we are doing about it.
Your choices
You can edit or remove the questions we monitor, change or remove competitors, pause monitoring, and export the evidence held in your workspace. You can also ask us to delete workspace data, subject to any records we are legally required to retain.
Depending on where you live, you may have additional rights over personal information, including the right to access it, correct it, or object to certain processing. We honour those requests regardless of where a workspace is based.
Children
BuibuiMedia is a business tool and is not directed at children. We do not knowingly collect information from anyone under the age required to agree to these terms in their country.
Changes to this policy
When this policy changes in a way that affects how we handle your information, we will update the date at the top of this page and, for material changes, tell you inside the product before the change takes effect.
